Executive Committee Meeting - 27th October, 2011 - 7.30pm at Wark Town Hall.
To discuss and vote on disolving the Charity.

1) There were no apologies for absence.
2) Minutes of the meeting held on the 5th April were read and agreed.
3) Matters Arising:
· Item 4, Independent Examiner for the accounts, VH had approached Bruce Napier who has agreed to take this on.
· A list of the Trustees held at the Charity Commissioners was sent out to all members/Parish Councils
· PW gave a report on the Solar PV installations.
· EH reported that all the applications to the Development fund had been passed. He confirmed the funding for Wark PC for disabled toilet provision. There is a ‘pot’ of funding available for further projects, Gt Whittington and Wark Town Hall have applications to put forward. SG reminded Parishes to apply to the Community Chest.
· A grant for Newbrough Town Hall had been responded to by SG
· Play area at Wall completed – swings to be updated.
4) Financial
Total cash assets = £12,632.16
Provision to be made to refund Chollerton 2011 grant of £100
Second tranche of Community Forum funding to be reallocated
Town Hall rent £30 due
Administrator costs to be paid - £300/£350?
5) Dissolving the Trust
· Proposed by PW
· EH confirmed that all PC’s aware that the Trust had served it’s time.
· A vote was taken in accordance with the Constitution and passed unanimously
· Notice of a Special General Meeting must be given 21 days before the event – this meeting will now be held on 1st December, 6.30pm at Wark Town Hall
· The funds left in MTCT accounts were discussed – PW had looked into transferring them to Community Foundation in Newcastle but the fund had to be £10,000; there were also set up costs to be considered. After further consideration it was decided that, after all liabilities had been honoured, the remaining balance would be divided between the 12 Parishes.
· SG suggested that a monitoring form be sent to all PC’s so that her office could evaluate the use of the funds in line with the constitution. It was thought that funding of 2012 Jubilee celebrations would qualify.
· It was agreed by the meeting that the funds be distributed to the PC’s with a monitoring form, the objectives in the Constitution of MTCT and a covering letter explaining the process.
6) No other business, the meeting closed at 8.00pm. SGM 1 December at 6.30pm at Wark Town Hall – an advertisement to be in next weeks Courant.
